Outlook Email Template Setup

The following instructions are designed to help you set up an HTML file as an template for outgoing email messages. Typically the email file will be a company/marketing design that you will use for proposals or other correspondence where a little added design can be helpful.

1. Show Hidden Files - Part 1
Because you will be placing the file in an area that is normally hidden by Windows, you will need to turn on the option to show hidden files. Open up a My Computer window or explorer window of some kind. Click the Tools menu and then choose the Folder Options menu item.
2. Show Hidden Files - Part 2
An options window will display. Click the View tab. Scroll down the window until you see the option for Show Hidden Files and Folders - check that option. Click OK.
3. Locate the Settings Folder
You will now need to open up an window to copy the file to the appropriate place on your computer. From My Computer, you will select the following folder:

C:\Documents and Settings\Your User Name\Application Data\Microsoft

Note that you will find a folder with your user name that you will open to store the file for your use. If you are the only person using the computer, you will find only All Users, Default User, and "Your User".
4. Locate the Stationery Folder
Once you have opened up the folder options listed above, you will be presented with a long list of folder options. Find the folder titled Stationery and open that folder. Once you have that folder open, copy the Email template file (and HTML file) into this folder. Once you have copied the file in place, you can close the window. If you like, you can also turn back off the option listed in step 2 for displaying hidden files and folders.
5. Selecting the Stationery
Open your Outlook program, and choose the menu option:

Actions > New Mail Message Using > More Stationery
6. Find Your Template Scroll down the list until you find the name of the email template you copied into the Stationery folder. Select the file and click Okay. You will have a new mail message opened up with the template in place.
7. Shortcut
When you have selected the template once, you will see the name appear on the menu for quicker access for future use.

There is also the option to have all of your outgoing email messages use the template format. To do this, visit the following menu choice in Outlook:

Tools > Options

Click the Mail Format tab, choose HTML as the Compose in this message format, then select your stationery name as the default email stationery.
